STAFF: PERSONNEL FILES

Employee personnel files are maintained by the Human Resources Director and are considered confidential. Managers and supervisors other than the Human Resources Director may only have access to personnel file information on a need-to-know basis. A manager or supervisor considering the hire of a former employee or the transfer of a current employee may be granted access to the file. All authorized reviews shall be documented in the personnel file.

Personnel files must be reviewed in the Human Resources Office. Personnel files may not be taken outside of the Office. Upon his or her request, access to a current or former employee’s file shall be permitted within three days of a written request for access.

Representatives of government or law enforcement agencies, in the course of their business, may be allowed access to file information. The decision to grant access shall be made at the recommendation of the Corporate Counsel in response to the request, a legal subpoena, or court order.
